Privacy Policy
Last updated 6 October 2026. This policy explains what information LHB Counseling, Coaching & Consulting, LLC collects, how we use it, and the choices you have. It covers this website, our new client form, our text messages, and our client portal.
Your health information is handled separately
What you share with a clinician during care — your records, session notes, diagnoses and treatment plans — is protected health information and is governed by HIPAA and North Carolina law, not by this website policy. Our Notice of Privacy Practices describes those protections and your rights. It is provided at your first appointment and is available at any time on request.
Please do not include clinical details in an online form, by email, or by text. Those are not secure channels. Anything clinical is handled inside our HIPAA-compliant systems once we are in touch.
Information we collect
From our new client form: your name, email address, home address, phone number, date of birth, insurance details, who the appointment is for, the general concern you are seeking help with, your availability, and an image of your insurance card if you upload one.
From your use of this website: pages visited, approximate region, device type, and whether you called, emailed, opened the new client form or asked for directions. This is collected without cookies and is not tied to you as an individual. We use no advertising trackers and send nothing to advertising networks.
If your browser sends a Do Not Track or Global Privacy Control signal, we collect no website analytics from you at all.
How we use your information
To respond to your enquiry, verify your insurance, schedule you with the right clinician, provide and bill for care, and meet our legal and professional obligations. We do not use your information to advertise to you.
How we share your information
Only what is necessary, and only with:
- Your health plan, for eligibility, authorization and claims.
- Service providers who help us run the practice under written agreements requiring them to protect your information — our electronic health record and client portal, our email provider, and our payment processor.
- Anyone you give us written authorization to share with.
- Where the law requires or permits it, including a serious and imminent threat to health or safety, and mandatory reporting obligations.
We do not sell your personal information. We do not rent or trade it. We do not share it for anyone else’s marketing.
Text messages
By providing your phone number and opting in, you consent to receive text messages from us about appointments and your care. Message frequency varies, and standard message and data rates may apply.
You can opt out at any time by replying STOP to any text message you receive from us. Reply HELP for assistance. Opting out does not affect your care — we will reach you by phone or email instead.
Text messaging originator opt-in data and consent are never shared with third parties for any purpose, including marketing.
Client portal and payments
Existing clients use our secure client portal to schedule, update payment details and pay balances. The portal is operated by our electronic health record provider under a HIPAA business associate agreement. Card payments are processed through that system’s payment processor, and card numbers are not stored in our files.
Children and teens
This website is not directed at children. Where we provide care to a minor, information is handled according to North Carolina law on minor consent and parental access, and is explained to you and your child at the start of care.
Your choices and your rights
You may ask what information we hold about you, ask us to correct it, request a copy of your record, withdraw a prior authorization, opt out of text messages, or ask us to contact you a particular way. For health records, the process and any limits are set out in our Notice of Privacy Practices. To make a request, use the contact details below.
How long we keep information
Clinical records are retained for the period required by North Carolina law and our professional licensing boards. Enquiries that do not become care are kept only as long as needed to respond, then deleted.
Security
This website is served over an encrypted connection. Our electronic health record and client portal are HIPAA-compliant and access-controlled. Email and text are convenient but not secure, which is why we ask you to keep clinical detail out of them.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes affecting your health information will be reflected in our Notice of Privacy Practices.
